[Position Overview]
The Operations Manager will oversee the organization’s core operational functions, with a primary focus on accounting and financial administration. This role also supports HR administration, office management, and general administrative operations to ensure the smooth and efficient functioning of the organization.
This position requires strong attention to detail, financial management experience, and the ability to manage multiple operational responsibilities in a small-team environment.


[Key Responsibilities]

Accounting & Financial Management (Primary Role)

  • Maintain accurate financial records and perform day-to-day bookkeeping functions.
  • Manage accounts payable and receivable, expense tracking, and reconciliation of bank and corporate credit card statements.
  • Process invoices, reimbursements, and vendor payments in accordance with internal policies.
  • Monitor operational budgets and track expenditures.
  • Prepare financial reports and supporting documentation for internal review and external audits.
  • Coordinate with external accountants, auditors, and financial service providers.
  • Ensure compliance with financial policies and applicable regulations.

Human Resources Administration

  • Support recruitment processes, including job postings, candidate coordination, and onboarding.
  • Maintain employee records and assist with HR documentation and policies.
  • Support employee benefits administration and HR-related operational matters.

Office & Administrative Management

  • Oversee general office operations, facilities coordination, and vendor management.
  • Maintain office supplies, equipment, and operational resources.
  • Provide administrative support for organizational programs, meetings, and events.
  • Support operational documentation and internal procedures.

[Qualifications]

  • Must be legally authorized to work in the United States without employer sponsorship
  • Minimum of 2 years of accounting or bookkeeping experience.
  • Experience managing financial records, invoices, and expense tracking.
  • Strong organizational and administrative skills with attention to detail.
  • Ability to manage multiple responsibilities in a small-team environment.
  • Proficiency in Microsoft Excel and Quickbooks
  • Strong communication skills and the ability to work collaboratively in an international work environment.

[Preferred Qualifications]

  • Experience working with nonprofit, government-funded, or international organizations.
  • Experience with HR administration or office management.
  • Familiarity with U.S. accounting practices and compliance requirements.
